ERASMUS+ Internship Funding

Which options are there to get funding for an internship abroad?

Apply for funding at the International Office (IO) of the University of Regensburg. There are several funding options for internships via the IO, depending on the country in which you do your internship.

The most common are:

  • Erasmus+ for European countries participating in the programme and
  • PROMOS for countries outside of Europe.

The DAAD and some other organisations run internships programmes, too.


Europe / EU

The UR is in a position to provide you with monthly EU grants for internships done in Europe (in Erasmus+ programme countries).


Non-EU

If your internship is in a non-EU country, you may apply for funding through the PROMOS programme (except Switzerland and UK).

Although it has recently become possible to apply for Erasmus+ funding for this group of countries, the Erasmus+ funds that can be used for this purpose are strictly limited (see tab Erasmus+ internships outside the EU).


Advantages of an Erasmus+ traineeship

  • The Learning Agreement for Traineeships details and guarantees recognition.
  • The International Office provides guidance before, during and after the internship.
  • The Erasmus+ grant helps alleviate costs.
  • Participants receive preparation tips.
  • The program provides special grants for students with disabilities, students with chronic illnesses and students with child(ren).

Prerequisites for funding of an Erasmus+ internship

  • The internship is self-organized and will take place in an Erasmus+ program country.
  • The internship is fulltime and lasts at least 60 days.
  • No tuition is charged at the host institution.
  • Enrolment at UR: Students need to be enrolled at UR during the full duration of the internship.
  • Graduates may be funded for up to 12 months after their graduation. At the time of application they must have student status.

Pro rata funding

If you receive other funding (remuneration, scholarships) for your internship within the EU or associated countries that exceeds €550 per month, ERASMUS+ internship funding can only be granted on a pro rata basis.

As of project 2023, in this case only 60 days can be funded due to a shortage of funds. However, the internship can last longer.


Information on BREXIT / Internships in the UK

Internships in the UK (outside of universities) can only take place if the receiving institution has acquired the authorization to issue a Certificate of Sponsorship (CoS), which is the prerequisite for a visa application. This is usually not the case for schools or smaller companies.

The possibility for the British Council to issue such CoS will no longer exist after March 2023 (i.e. after the end of the ERASMUS+ project in 2020).


Exception:

If you plan to do a (laboratory) internship at a British university, this will still be possible without a visa under the following conditions:

  1. You have an EU citizenship.
  2. The internship lasts no longer than 6 months.

In that case, the UK university may admit you as a student and you can use the visa-free Standard Visitor Route to enter the country.

Whether the internship can be funded through ERASMUS depends on whether the UK university (your lab) is willing to sign an ERASMUS Learning Agreement for Traineeships.

A possible ERASMUS funding would run under the program section ERASMUS International for countries outside the EU. These funds are strictly limited (see also tab Erasmus+ internships outside the EU?).


Erasmus+ internships outside the EU?

As of May 2023, an application in the frame of Erasmus+ Internship worldwide is no longer possible as funds are exhausted.
As soon as more financial resources become available, this will be published on this website.

In case resources are available:

  • If you receive other funding (e.g. salary, scholarships) for your internship outside the EU, this must not exceed 550 EUR per month in order to receive Erasmus+ funding for internships at the same time.
  • Funding is only possible if the host institution does not charge any tuition fees.
  • Furthermore, the regular eligibility requirements apply (see tab above): self-organized internship, full-time internship (min. 60 days), enrollment at UR.

Erasmus+ grants for traineeships:

The monthly funding rates are based on the different costs of living in the host countries. They are adjusted annually.

Additional financial support

Top-up allowance for participants with fewer opportunities

Students and graduates

  • with disabilities?(degree of disability of at least 20, GdB 20)
  • with a chronic illness (with additional financial needs abroad)
  • with child(ren)
  • students who are first-time graduates
  • students who finance significant parts of their studies through work

may receive funding of EUR 250 per month (in addition to the regular scholarship rate) for the extra costs incurred during an internship abroad.

This additional grant can only be awarded once, even if several of the above criteria apply. It can be combined with the top-up for sustainable travel.


Real Cost Application

If particularly high additional costs arise for students with disabilities or chronic illnesses and students with child(ren) during their stay abroad, a so-called "real cost application" (Realkostenantrag) may be submitted instead. In this way, up to EUR 15,000 per semester can be covered. A grant is also available for a preparatory trip to explore the local conditions.

This requires a generous amount of time in advance. Please seek advice early!


Top-up for "Green Travel"

If you travel both ways (outward and return) by a sustainable means of transport (e.g. train, long-distance bus, ship, bicycle, carpool together with other UR students that start their Erasmus+ stay) to and from the location of your host university, you can apply for the "Green Travel" grant. There is a one-time contribution for sustainable travel of EUR 50 and additionally a maximum of 4 travel days can be claimed. The travel days on which you have traveled sustainably count as additional days of stay and will be financially supported with the daily rate of the corresponding country rate (subject to funds).

Internships NOT eligible for funding

The following types of organisations are not eligible as receiving organisations for student traineeships:

  • EU institutions and other EU bodies including specialised agencies (their exhaustive list is available on this website)
  • organisations managing EU programmes such as Erasmus+ National Agencies (in order to avoid a possible conflict of interests and/or double funding).

Application

You can apply for an Erasmus+ internship grant at the International Office on an ongoing basis. If applicable, please check with the IO before applying whether a funding quota is still available for a destination outside the EU.

All application documents (including the learning agreement for traineeships) must be submitted in complete form no later than 8 weeks before the start of the internship.

Application documents are to be handed in to Margit Fr¨¹chtl via email, who will advise you in all matters concerning your Erasmus+ internship application. If applications are complete and submitted on time, chances to receive funding are extremely good. It is, however, not possible to fund internships which - at the time of application - have already started.

Steps after completing the application

  • Hand in draft of Learning Agreement for Traineeships (LA).
  • Take online language test (OLS); participants will get further information from the International Office
  • Sign Grant Agreement, which is sent out by the IO.

Guidelines for filling in the Learning Agreement for Traineeships:

The LA is an internship contract which details the tasks of the trainee, the competences to be acquired, the recognition granted as well as insurance questions. The IO checks the prefilled document prior to signature by all parties. For the UR it is signed by Maria Grotz, Erasmus+ Coordinator.

During the internship

  • Every participant is required to hand in a mid-term report.
  • Changes to Original Learning Agreement: Should it be necessary to change the LA during the internship, please contact Margit Fr¨¹chtl for further instructions.
